Step 1: Nomination procedure for sending institutions
All incoming exchange students must be first nominated online by their home university.
We only accept online nominations via our Partner Portal.
Free movers must be nominated by their home university as well.
Student can be nominated for one semester or an academic year:
- Winter Semester (September – February)
- Summer Semester (February – July)
- Academic year (September – July)
Note: An extension of stay is only possible within the same academic year, this means from winter semester to summer semester. An extension from the summer to the winter semester will not be accepted.
Nominations submitted by students will be deleted – only the sending institution is allowed to nominate students.

Step 2: Student Application
It is mandatory for all incoming exchange students to submit their online application in our Student Portal. Nominated students will receive the application instructions once their nomination has been validated.
!IMPORTANT! In case the application is not submitted in time, the nomination for the study exchange will be automatically cancelled.
You have to upload the following documents to the online application:
- Transcript of records from previous semesters
- Learning Agreement
- Confirmation of Language Skills (a form will be provided by Uni LU)
- Copy of ID or passport
- Health insurance certificate (can be also submitted later)
- Passport photo

Learning Agreement (LA)
The Learning Agreement is a document listing the courses that you intend to take during your exchange semester.
The following rules apply:
- It is a mandatory document for all incoming exchange students.
- If you fail to submit a correct LA before the application deadline, your application will be cancelled.
- The majority of selected study courses must be from the main study programme you are nominated in.
- The University of Luxembourg requires the minimum amount of 20 ECTS per semester.
- The student and the home university must sign the LA before submitting the online application.
Note: In case the home university requires a different format of the Learning Agreement, please use it from the beginning and upload it in the online application. We will accept a LA form of your home university, but we will not process more than one version.

Step 3: Official Acceptance and Letter of Admission
The Incoming Office will evaluate your submitted application and send it for approval to the specific faculty.
Please understand that your acceptance for the study exchange is not confirmed yet; you have to wait for an officially approval. The approval process may take several weeks.
Once your application has been approved, we will send you the Letter of Admission and your Learning Agreement signed by our university.
You will receive both these documents via email from the Incoming Office.
Note: The Letter of Admission is an electronic document only. We do not send any original of this documents by postal service.
In case you are unable to accept the place at Uni LU for any reason, please inform the Incoming Office via bri.incoming@uni.lu as soon as possible.
Step 4: Apply for AST and/or Visa – Non-EU citizens only
If you are a citizen of Non-EU country, you must apply for a Temporary Authorization to Stay (AST) immediately after you receive the Letter of Admission.
You might also need to apply for Visa type D, this depends on your country of origin.
