Reasonable adjustments
The Committee for Reasonable Adjustments (CAR) is a dedicated body that ensures students and staff with disabilities, long-term health conditions, specific learning disorders, and mental health conditions receive appropriate support to access and participate fully in university life.
The committee reviews requests for adjustments, evaluates supporting documentation, and makes fair, consistent, and transparent decisions in line with legal obligations.
Requesting adjustments
If you have a diagnosed condition or previously received adjustments, then you can directly reach out to the Committee for Reasonable Adjustments (CAR). The application should include appropriate supporting evidence.
Accepted documentation/supporting evidence
The University requires a medical, psychological, or diagnostic report prepared by a medical specialist or other suitably qualified professional to support any request for adjustments. The report must state a diagnosis according to the DSM V (Diagnostic and Statistical Manual of Mental Disorders) or the ICD-11 (International Classification of Diseases, Tenth Revision).
It is particularly helpful if the supporting evidence includes:
- the likely duration of the disability or health condition
- whether the condition is fluctuating or progressive
- the possible impacts on learning and/or attendance at university
- any impact on day-to-day activities
Where possible, the report should also indicate whether the condition affects:
- concentration or memory
- reading or writing for extended periods
- use of computers
- mobility and/or the ability to walk any distance
Finally, it is useful if the evidence highlights whether any prescribed medication has side effects that could impact learning, such as sleep disturbance or morning fatigue.
Deadlines for requests
To guarantee your request is processed in time:
- Winter semester: submit by 31 October
- Summer semester: submit by 31 March
If your request arrives after the deadline, it may only be applied from the following semester.
Frequently Asked Questions – Reasonable adjustment requests
Reasonable adjustments are changes we can make to reduce barriers you may face because of a disability, long-term health condition, specific learning difficulty, or a mental health condition. They’re designed to give you fair and equal access to your studies and student life.
Any student who feels their condition is affecting their studies can ask for reasonable adjustments.
We will ask for a medical, psychological, or diagnostic report from a qualified professional stating a diagnosis according to the DSM V (Diagnostic and Statistical Manual of Mental Disorders) or the ICD-10 (International Classification of Diseases, Tenth Revision).
It’s especially helpful if this report explains:
- How long your condition is likely to last
- Whether it changes over time (fluctuates or progresses)
- How it might affect your learning, attendance, or day-to-day life
- If it impacts things like memory, concentration, reading/writing for long periods, computer use, or mobility
- Whether medication has side effects (like tiredness or sleep disruption) that could affect your studies
If you are an enrolled student at the University of Luxembourg, you can apply directly on the Students Service Portal. If you are a prospective student or incoming mobility student, please get in touch with the Learning Support and Disability Team. Your request will be looked at by the Reasonable Adjustments Committee, which includes staff and student representatives. They’ll work together to make sure decisions are fair, consistent, and centered on your needs.
Adjustments are tailored to you. Some examples are:
- Extra time in exams
- Access to assistive technology
- Extra breaks during exams
- Alternative assessment formats
- Flexibility with deadlines or attendance where appropriate
Outgoing students: before you leave for your mobility semester, please meet with the Learning Support and Disability team, as the host university may not apply the same adjustments as Uni.lu. With your consent, CAR can contact the host university to share your support needs.
Incoming students: please contact the Learning Support and Disability team before your arrival so we can carefully review the adjustments recommended by your home university. We will do our best to implement them at the University of Luxembourg, wherever possible.
Yes. However, the adjustments apply only to examinations linked to your courses. If you need adjustments to tasks related to your work or schedule, please get in touch with your HR partner.
Once we have your request and evidence, most decisions are made within 1 month. If your case is more complex, it might take a little longer.
Yes, everything you share is confidential and only passed on to the people who need it to support you.
No, they don’t change what you need to achieve. They simply remove barriers so you can demonstrate your ability in the best possible conditions.
