Transcript of Records (TOR)
Recognition of obtained ECTS ans what to do in case of failed exams at the host university.
- The transcript will be compared to the last Learning Agreement (LA) on file – only courses approved on that last LA will be validated. It is therefore important that you send us a copy of the LA with your final course choice which is signed by all parties (student, host university, home university).
If there are courses on your transcript that were not approved by your study director, you will be asked to submit a new LA reflecting the actual courses you took. We do, however, not guarantee that your course choice is approved retroactively. You should always make sure that you get the study director’s approval by signature on the LA before registering for classes at the host university. Pay attention to the course registration deadlines at your host university! Credits obtained for non-approved courses are not being validated!
- After comparing the transcript to the LA, the transcript is forwarded to your course administrator for validation. The ECTS are being transferred (foreign credits are converted into ECTS) into your file and will be available in the “guichet d’étudiant” in due time.
- As per rectorate decision, we do not convert grades but only credits obtained abroad – you will have proof of your grades in form of the transcript provided by your host university. Consequently, the grades obtained while studying abroad do not influence your average grade at the University of Luxembourg.
- We validate the successfully completed courses appearing on your transcript that were approved via your final learning agreement.
- Courses marked as optional on the learning agreement do not count towards the required 30 ECTS. They will be validated as optional in your file.
- If you obtained more than 30 ECTS AND the courses were approved via the learning agreement, the ECTS will be validated. They do not, however, give credit towards any of the other semesters. You will simply graduate with additional ECTS.
- If you have obtained less than 30 ECTS and there is no compensation applied nor is it possible to do re-sits at your host university, please refer to the information concerning “dettes de mobilité” available on Moodle (usually found in the document “Règles de fonctionnement…”) and/or get in touch with your study programme administrator to find out how to make up the missing ECTS.
- Should you receive a 2nd transcript with additional results, we will take it into consideration upon receipt.
- If you are missing too many ECTS to catch up, you might have to enroll for a supplementary semester.
- We usually receive a digital copy of your transcript. Should we receive the original, you will be informed. If we don’t get one but should you need an original transcript, please contact your host university.
- If you fail any exams at your host university, you should find out how to take re-sits (rattrapages) at your host university. If it is not possible to resit, please refer to the information “dettes de mobilité”, usually found in the document “Règles de fonctionnement du…” on Moodle. If you have questions how to catch up on missing ECTs from mobility, please contact your study programme administrator.
- Once we receive your transcript of records from the host university – we cannot accept a copy sent by you, we will verify if the courses approved via your final learning agreement (must be signed by all three parties, make sure to submit that document. If you submitted your learning agreement via the online platform, we are automatically informed that a completely signed version is available.) correspond to the courses on the transcript. We cannot accept a copy sent by you unless it is a secure document (cannot be easily altered). Please have your host university send a copy of the transcript to stephanie.anderson@uni.lu.
- We will validate the ones that you successfully completed (strictly by pass and fail), no grades are converted.
- Compensation is only applied if your host university applied compensation and it is visible on the transcript of records.
